2017 CGSA Board of Directors Nominations Now Being Accepted

In accordance with the by-laws of the Canadian Golf Superintendents Association, Article VII, please accept this memo as notice of the acceptance of nominations for positions on the CGSA Board of Directors for consideration at the Annual General Meeting on March 1, 2017 in Victoria, British Columbia.

Please note the following:

• Nominations are being accepted for the following positions in accordance with the provisions of the CGSA by-laws:

  •  President
  •  Vice-President
  •  Directors   - British Columbia
                      - Alberta
                      - Saskatchewan

• Nominations must be submitted no later than 5:00 pm, eastern standard time, on December 1, 2016

• Nominations must be submitted on the form as approved by the CGSA Board of Directors;

• Only Superintendent members of CGSA are eligible to be nominated and hold office; the positions of President and Vice-President are only open to current members of the CGSA Board of Directors;

• Superintendent, Golf Course Management and Life members are eligible to nominate candidates and vote in an election and;

• If an election is necessary, the vote will be held on March 2, 2017 from 8:30 am - 12:30 pm at the Victoria Conference Centre, Victoria, British Columbia.

CGSA BY-LAWS, Article VII, Committees

1. Nominating Committee

Structure and Procedures

The Board of Directors shall annually appoint a Nominating Committee which shall be composed of five (5) voting members of the Association. This Committee must be appointed at least 90 days prior to the AGM and the list of the persons appointed to the Committee is to be sent to each of the members at least ninety (90) days before the AGM. Not less than sixty (60) days prior to the AGM the Committee must prepare a list of persons who have agreed to be nominated for the position of President, Director or Officer to be filled at the next AGM. A copy of this list of nominees, certified by the Secretary shall be mailed to the general membership for information at least thirty (30) days before the date of the AGM.

The Chair of the Nominating Committee shall send to each Superintendent, Golf Course Management and Life members of the Association, at least ninety (90) days before the AGM, a nomination form.

Each nomination must be attested by at least two (2) members and have the consent of the candidate to serve if elected. Nominations must be in the hands of the Nominating Committee at least sixty (60) days before the AGM. The nominating committee is responsible for preparation of the list of candidates for the various offices to be voted on by the membership at the AGM. The Nominating Committee's list must include all candidates’ names that have been attested by ten or more members.

2. Election Committee

All nominations that comply with the requirements of the CGSA, its by-laws and the provisions
of the Canada Corporations Act will be included on the election ballot.

SOP – 09 – 2001, Committees, Nominating

The Board of Directors shall appoint a Nominating Committee annually which shall be composed of five (5) voting members of the Association. The said Nominating Committee shall not less than sixty (60) days prior to the annual membership meeting, prepare a nominating list for President and a list of nominees for Directors and Officers to be filled at the said succeeding annual membership meeting. A copy of the list of nominees shall be mailed to the general membership for their examination. This mailing is to be sent at least thirty (30) days before the date of the election.

The Chair of the Nominating Committee shall send to each Superintendent, Golf Course Management and Life members of the Association, at least ninety (90) days before the annual election, a form approved by the Board of Directors for the nomination of Directors and Officers of the Association.

Each nomination must be attested by at least two (2) members and have the consent of the candidate to serve if elected. The said nomination must be in the hands of the Nominating Committee at least sixty (60) days before the annual meeting. With the aid of the said nominations, the Nominating Committee shall then prepare the list of candidates for the various offices to be voted on by the membership at the annual meeting. The nominating committee's list must include all candidates’ names that have been attested by at least ten (10) members even though the said list might therefore have more than one nominee for any particular office.

The Nominating Committee has as its Chair the Immediate Past President of the association with up to four other members which may include other Past Presidents and other representatives of the membership. Normally, the regions where a director’s term is up are asked to place someone on that year’s Nominating Committee.

When candidates are approached they should realize that they potentially could serve up to 7 or 8 years on the Board. The candidate should be notified in advance that on the Wednesday morning following the annual conference and trade show, the “new Board” has its traditional first meeting.

Candidates should have the support of their home club in order to take on the responsibilities of being on a national Board of Directors.

Candidates should also recognize that they are responsible to effect and/or maintain positive communications with golf superintendents and other CGSA members in their regions.

Board members are typically elected to two (2) year terms. Board members normally attend three meetings a year, two of them in conjunction with the CGSA Conference, and the other in conjunction with the Fall Field Day. Conference calls are also scheduled from time-to-time. Board members are liaisons to CGSA Standing Committees and are expected to attend relevant meetings.

Board members and officers are expected to attend and fully participate, to the best of their ability, in all Board and committee meetings, fully briefed and prepared on the issues to be discussed; to remain an active member of their local or provincial association; to promote the programs, goals and services of CGSA; and to faithfully discharge duties which may be assigned to them by the President or the Board from time to time. They are also expected to abide by the CGSA Principles of Professional Practice and Code of Ethics.
